Plain-language notice: this page explains in plain English what information Wardyn Automations collects and how it is used. It has not been drafted or reviewed by a lawyer and is not a substitute for formal legal terms. A proper legal version, reviewed by a solicitor, will replace this page in due course.

Who we are

Wardyn Automations provides AI-powered call answering and website chat for small businesses. This page covers our website, our chatbot designer and accounts, and the services we run for our customers. You can reach us any time at office.wardyn@gmail.com.

What we collect

  • Your account: your email address and a password (stored in scrambled form, never in plain text), or your email address if you sign in with Google. We also keep the chatbot designs you save and the items in your cart.
  • Your orders: your name, business name, website and email, as entered at checkout. Card details are entered on Stripe's own page and are never seen or stored by us.
  • Enquiries: anything you type into our website chat or send us, including your name, email and what you need, so we can reply.
  • Our customers' services: for businesses using our Virtual Receptionist or Website Chatbot, we handle the calls and chat messages those businesses receive. This can include callers' names, phone numbers, email addresses, what they asked for, and call recordings and transcripts.

How we use it

  • To run your account, take your order, set up your service and contact you about it.
  • To answer calls and chats for the business you contact, and pass the details on to that business.
  • To produce monthly reports for our customers, and to keep the service working and improve it.
  • To send you emails about your account and orders. We only send marketing-style emails, such as a reminder about an unfinished chatbot design, to people who have an account with us, and you can ask us to stop.

We do not sell your information.

Who else handles it

We use trusted providers to run the service. Each only receives what it needs to do its job:

  • Stripe processes payments and subscriptions.
  • Twilio provides phone numbers, calls and text messages.
  • Anthropic provides the AI that writes the replies in calls and chats, so the text of those conversations is sent to it.
  • Resend sends our emails.
  • Render hosts our servers and database.
  • Google, only if you choose to sign in with Google.

Some of these providers are based or store data outside Australia, so your information may be processed overseas.

Call recording

Calls answered by our AI may be recorded and transcribed. Callers are told at the start of the call that it may be recorded. See our Terms of Service for more.

Cookies and storage

We use one cookie to keep you logged in to your account. Your browser also stores small items on your device so the site can remember your cart, that you are logged in, and that you used Google to sign in. We do not use advertising cookies. If you choose to sign in with Google, Google loads its own sign-in button and may set its own cookies.

Keeping it safe

Passwords are stored in scrambled form, connections to our site are encrypted, and access to customer data is limited. No online system is perfectly secure, so if you suspect a problem with your account, tell us straight away.

Your choices

You can ask us to show you the information we hold about you, correct it, or delete it, and you can delete chatbot designs and cancel subscriptions from your account. Email office.wardyn@gmail.com and we will help. We may need to keep some records, such as payment records, where the law requires it.

Changes

We may update this page as the service develops. Significant changes will be communicated to active customers directly.
